A calm checklist for documenting rooms, surfaces, appliances, fixtures, keys, and final notes before a rental handoff. Use it as a practical guide, not legal advice.

Before you start

Make the first pass fast, then capture close-ups where details matter.

The best report is usually a mix of wide room photos, item-level close-ups, short notes, and enough context that someone else can understand what each photo shows.

Take a room overview first so later close-ups have context.

Then get close

Capture scuffs, chips, stains, leaks, serial labels, and appliance details.

Add plain notes

Use short, factual wording: where it is, what it looks like, and when it was seen.

Room-by-room checklist

Common areas to document.

Entry and keys

  • Front door, locks, handles, peephole, thresholds.
  • Keys, remotes, access cards, garage openers.
  • Mailbox, storage, parking, or gate access items.

Kitchen

  • Oven, stove, refrigerator, dishwasher, microwave.
  • Sink, faucet, disposal, under-sink area, leaks.
  • Cabinets, drawers, counters, backsplash, flooring.

Bathrooms

  • Sink, faucet, tub, shower, toilet, vanity, mirror.
  • Caulk, grout, water marks, drains, fans, towel bars.
  • Flooring, walls, storage, under-sink area.

Living and bedrooms

  • Walls, floors, baseboards, doors, closets.
  • Windows, blinds, screens, outlets, lights, ceiling fans.
  • Furniture or included fixtures, if the rental has them.

Laundry and utility

  • Washer, dryer, hookups, lint area, utility sink.
  • Water heater area, HVAC closet, filters, visible leaks.
  • Electrical panel and shutoff areas if accessible.

Exterior or balcony

  • Patio, balcony, railings, screens, exterior doors.
  • Storage closets, exterior lights, outdoor flooring.
  • Any included outdoor furniture or appliances.
