Identify the property, report type, date, room, and item.
Use consistent labels and include a wide photo before details. If the walkthrough date differs from the handoff date, record that distinction accurately.
Capture the observation at useful scale.
Pair an overview with a close-up. Include a fixed feature for orientation when practical, and avoid filters, annotations, or edits that obscure the original image.
Write a neutral note that can be read without your memory.
State location, appearance, and limits: "two-inch dark mark on lower bedroom wall beside closet door" is more useful than "bad damage."
Keep source and proof details connected.
Review the report date, photo count, source information available to the app, room coverage, and report fingerprint before finalizing or sharing.
Retain the report and supporting records outside the app.
Keep the exported PDF, backup where appropriate, correspondence, receipts, notices, and delivery confirmation in storage you control. Do not rely on a single device.
Record limitations rather than filling gaps with assumptions.
If a room was inaccessible, a fixture was not tested, a timestamp came from import, or GPS was unavailable, say so. Missing information is clearer when it is explicit.
