A final record, not a memory test

Document the condition that actually exists at handoff.

Use the final walkthrough date and identify anything that could not be observed. A move-out report is clearer when it follows the same room and item labels as the starting baseline.

  1. Finish removing belongings, cleaning, and agreed work first.

    Photographing too early can hide surfaces and create a record that does not represent the condition at return. Keep receipts or correspondence separately when they matter to your process.

  2. Photograph each empty room from consistent viewpoints.

    Start at the doorway, add an opposite-corner overview, then capture relevant close-ups of floors, walls, doors, windows, fixtures, appliances, closets, and included furnishings.

  3. Compare the final state with the move-in baseline.

    Use the same labels and look at the original context before describing a change. Record what is visible without assigning responsibility or making a legal conclusion.

  4. Record final readings only when they are part of the handoff.

    Photograph the full display and enough surrounding context to identify the meter or device. Do not include account numbers or unrelated personal information.

  5. Count keys, remotes, cards, parking, mailbox, and storage access.

    Note what was returned, the date, and the handoff method. Keep any separate receipt or message that confirms delivery.

  6. Review the final report before leaving.

    Check for missed rooms, unclear comparison photos, incomplete notes, and the correct report date. Export the PDF and retain both the move-in and move-out records outside the app.
